LINE BUTTONS

The line button corresponds to your extension number. You can use the line button to answer and place calls. The indicator that lights when you pick up your receiver shows your primary line.

Once you have lifted the receiver to answer a call, do not press the line button. Doing so will disconnect the call.

SPEAKER

All phones have a one-way speaker that allows you to dial a number and receive an answer without using the hand set (hands free dialling).

To use the speaker:

  1. Press a line button
  2. Dial the number
  3. Listen for an answer and lift handset

DIAL TONE / HANG-UP

To get dial-tone:

  • Lift your receiver or
  • Press a line button or
  • Press the FLASH button while on a call (see below)

INTERNAL/EXTERNAL CALLS

To make internal calls:

  1. Lift receiver or press a line button to get dial-tone
  2. Dial the extension number

To make external calls:

  1. Lift receiver or press a line button to get dial-tone
  2. Press 9
  3. Dial outside number

FLASH

Pressing the FLASH button allows you to place a call in progress on temporary hold, to access another feature, or to dial a second party on the same line.

HOLD

HOLD allows you to temporarily hang up a line without disconnecting it.

To put a call on hold:

  1. Press the HOLD button
  2. Hang up

To reconnect to a call you have put on hold:

  1. Press the blinking line button
  2. Pick up receiver

TRANSFER

TRANSFER allows you to move a call to another extension.

  1. Press the TRANSFER button
  2. Dial extension number
  3. Announce caller
  4. Hang up; the transfer has been completed

CONFERENCE CALL

A conference call allows up to eight parties, including yourself and two outside lines, to have a telephone conversation.

To set up a conference call:

  1. Get the first party on the line
  2. Press the FLASH button
  3. Dial the next extension number or key in 9 and dial an outside number
  4. Inform the called party that this is a conference call
  5. Press the CONF button or key in FLASH *4 to connect all parties
  6. Repeat the four previous steps, until you have reached all parties

To reconnect to the conference if a called party refuses the conference, is busy, or does not answer:

  • Press CONNECT button

To drop the last added party:

  1. Press FLASH button
  2. Key in **4

CONSULTATION CALL

A consultation call allows you to talk privately to two separate parties using one line. You use the CONNECT button to alternate between the two parties.

To consult with a second party during a call:

  1. Press the FLASH button
  2. Dial extension number, or key in 9 and dial outside number
  3. Talk with second party

To reconnect with original party:

  • Press the CONNECT button

To talk to both parties simultaneously:

  • Press the CONF button

PARK

PARK allows you to transfer a call to an extension and hold it there. The call will not ring at that extension. If the extension is free, the line button light will blink. If it is busy, the call waiting light will blink.

To park a call on an extension:

  1. Press the PARK button, or key in FLASH *6
  2. Dial the new extension number
  3. Listen for dial-tone
  4. Hang up

To connect to a parked call:

  • If the extension is free, press the line button
  • If the extension is busy, press the CONNECT button

PICK

PICK allows you to answer a ringing extension, provided you know its number. You can also use PICK for calls that are on hold or parked at another extension.

To answer another extension:

  1. Lift receiver or press a line button to get dial-tone
  2. Press the PICK button or key in *3
  3. Dial the number of the ringing extension or the extension on hold or the extension at which a call is parked

To answer a call to another extension while you are talking on your phone:

  1. Ask your party to hold
  2. Press the PICK button
  3. Dial the number of ringing extension
  4. Press CONNECT to reconnect to your party

PICK GROUP

A PICK GROUP allows you to answer a call from your phone without knowing the ringing extension's number provided it is in your PICK GROUP.

To answer a call on any extension in your pick group:

  1. Lift receiver or press a line button to get dial-tone
  2. Press the PICK button TWICE, or key in **3

To answer a call to any extension in your pick group when you are talking on your phone:

  1. Ask your party to hold
  2. Press the PICK button TWICE, or key in FLASH **3
  3. Press CONNECT to reconnect to your original call

To pick a call on hold at another extension:

  1. Lift receiver or press a line button to get dial-tone
  2. Press PICK or key in *3
  3. Dial the number of the extension where the call is held

CAMP

CAMP will automatically ring you back with two long rings and flash the CAMP indicator light when the busy extension you are trying to reach becomes free. When you answer, you'll hear the extension you called begin to ring.

To camp on to a busy extension:

  1. Listen for busy signal
  2. Press the CAMP button, or key in FLASH #1
  3. Listen for dial-tone and Hang up

To cancel a camp:

  1. Lift receiver or press a line button to get dial-tone
  2. Press the CAMP button or key in ##1 and Hang up

or Do not answer 'callback'

FORWARD

The FORWARD button allows you to send your calls to another extension.

To forward your calls to another extension:

  1. Lift receiver or press a line button to get dial-tone
  2. Press FORWARD button, or key in #9
  3. Dial number of extension to receive your calls
  4. Hang up

To cancel call forwarding from your extension:

  1. Lift receiver or press a line button to get dial-tone
  2. Press FORWARD button, or key in ##9
  3. Hang up

or Recipient dials your extension

RINGING TONES

  • Single interrupted ringing indicates call is internal
  • Double interrupted ringing indicates call is external
  • Single long ring indicates call is a camp-on callback

To change your ringing tone:

  1. Lift receiver or press a line button to get dial-tone
  2. Key in *572
  3. Key in single digits (1 through 8) to hear various tone pitches. The last digit you key in before you hang up will set the ringing tone of your phone.

BEEP TONE

While on a call, a Beep indicates that someone is waiting on your line. Your call waiting light will be flashing. To get to that call press CONNECT.

PhoneMail Features

How do I record my personal greeting?

Once you have accessed PhoneMail and entered your password, the PhoneMail System will prompt you to record your name.

  • To record your name, press 8 then 4.
  • To record your greeting, press 8 then 1.

Other menu options.

  • To listen, press 3.
  • To Record, press 1.
  • To Change Answering options, press 8.
  • To Change Mail box options, press 9.
  • To Transfer, press 7 then 0.
  • To Disconnect, press 7 then 6 or hang up.
  • If you need help, press help or "0" to get to the home state.
  • During play back or recording you may press stop or * (star key) to enable you to use the control features.
  • To go back to the home state, press reverse or 7 then press enter or # (pound key).
  • To disconnect press 7 then press 6 or hang up.

PhoneMail Control Features:

  • To delete press 6,
  • To save press 4,
  • To replay, push 7 then 3,
  • To skip press 2,
  • To continue listening, press 3.
  • For more options press "0".
  • If you need Help press "0".
While listening to messages, you can:
  • Record and send messages to another subscriber by entering their extension number.  You can also send messages to several subscribers or to distribution lists.
  • Skip message to go to the next, listen later.
  • Listen - After listening to messages, you can press * Stop and replay.
  • Save your messages - limits message capacity.  Limit is 10 total, saved or new.
  • Delete - After deleting, you can send an automatic response, add your own comments.
  • Forward messages to another phone mail user.
  • Press "O" or * at any time during the recording to listen to features.

Other Features:

  • To put your phone in "do not disturb" mode press # (pound key) 5.
  • To cancel "do not disturb" mode press ## 5 which will allow your phone to ring.
  • To forward calls to PhoneMail press # 9 then 7500.
  • To cancel forwarding press ## 9; calls will again ring your extension.

Special Buttons

  • Flash:  Gives you a dial tone, call waiting light flashes while dialing another extension.
  • Call Waiting:  Press connect button to connect caller waiting.
  • Connect:  Press connect button to reconnect the caller.
  • Conference:  Press conference button after 3rd party number is connected.

Troubleshooting

NO DIAL TONE.  If you cannot get a dial tone, and none of the lights are lit:

  • Make sure the plugs connecting the handset to the phone are firmly in place.
  • Check to see if the wall cord is firmly plugged in.
  • If all plugs are secure, then unplug the telephone from the wall, wait about 10 seconds, and then plug the phone back in.  This should reset the phone causing all the lights to flash briefly.  DO NOT leave the phone unplugged for more than 30 seconds or an alarm will register on your system.
  • Make sure the wall cord is undamaged.
  • If you still cannot get a dial tone, call the Help Desk. Be sure to give your extension and room number.

DEAD PHONE.  If all the lights on your phone are blinking erratically:

  • Check to make sure the wall cord is firmly plugged in, both on the phone and at the wall jack.  If one is loose, snap it firmly in place, the problem is probably solved.  If one end remains very loose, or the lights keep flashing, call the Help Desk.

CANNOT GET INTO PHONEMAIL.  Are you dialing the correct Phone Number?  Dial 7195 on campus.  Dial 968-7195 from off campus.

PHONE MAIL WON'T ANSWER.  If Phone Mail isn't answering your phone after 4 rings call the Help Desk.

  • PhoneMail may be busy at peak times.
  • Check your Answering Mode in your PhoneMail options box by entering PhoneMail. Press 8 for Answering Options and then press 2 for the Answering Mode. Then press 4 to have PhoneMail answer your calls.

PASSWORD NOT WORKING.  Retry and call the Help Desk.
